T3, which was implemented in just two weeks, replaces PPU’s in-house developed knowledge management system. Already, since its rollout in April this year, T3 stores more than 1,500 knowledge documents and this number is growing steadily.

Today, the KM system represents a single version of the truth for PPU knowledge information. Previously, there were multiple versions of the same document because the KM system in place allowed lawyers to edit documents that already resided in the solution. Also, frequently, a document needed to be stored multiple times, if it was relevant to different areas of practice. All of this meant that ensuring the accuracy and consistency of documentation was extremely difficult and time consuming for the KM department.
The process of capturing knowledge documents for inclusion in the KM system is now streamlined. Any document highlighted by lawyers for inclusion in the T3 is automatically sent to a separate inbox assigned to the KM service. This allows the KM team to sort the document, make it compliant with data protection requirements such as GDPR, and format it according to internal policies and guidelines, before uploading it to T3.
Document contributions by lawyers for the KM repository have increased because the process is now so simple. Using the “Submit Knowledge” button in iManage Work, lawyers can assign documents for inclusion in T3 with the click of a mouse.
